TERMS OF SERVICE

The Washington, DC Center for Neurocognitive Excellence, LLCĀ 

I. ACCEPTANCE OF TERMS

By accessing and using our website or Services, you acknowledge that you have read, understood, and agree to be bound by these Terms and any other applicable laws and regulations. If you do not agree with any part of these Terms, you must not use our website or Services.

II. DESCRIPTION OF SERVICES

The Washington, DC Center for Neurocognitive Excellence, LLC is the DC Metro Area’s premier center for the evaluation and treatment of ADD and ADHD. Our services include, but are not limited to:

  • ADHD diagnostic evaluations
  • Comprehensive psychological testing and assessment
  • Neurofeedback and biofeedback treatment
  • Individual and group therapy
  • Counseling for anxiety, depression, and trauma
  • EMDR therapy
  • Coaching services

The specific services provided to each client will be determined based on their individual needs and treatment plan as developed by our clinical team and the client.

III. MEDICAL DISCLAIMER

The information provided on our website is for general informational purposes only and is not intended as a substitute for professional medical advice, diagnosis, or treatment. Mental health services require an evaluation by a licensed mental health professional before treatment can begin. Results from treatment vary depending on the individual client, their condition, and their adherence to the prescribed treatment plan.

IV. APPOINTMENT POLICY

A. Scheduling

Appointments can be scheduled by phone at 202-998-ADHD (2343), by email at [email protected], through our online scheduling system, or by text message. We offer free consultations to discuss our services and determine which options may be right for you.

B. Cancellations and Rescheduling

We understand that circumstances may arise that require you to cancel or reschedule your appointment. We request that you provide at least 48 hours notice for any cancellation or rescheduling or you may be charged up to the full cost of your appointment. This allows us to offer the appointment time to another client who may be waiting for care.

C. Late Cancellation/No-Show Fee

Appointments cancelled with less than 24 hours’ notice or missed appointments (“no-shows”) may be subject to a fee. This fee is not covered by insurance and will be the client’s responsibility.

D. Late Arrivals

If you arrive late for your scheduled appointment, your session may be shortened to accommodate our schedule, but you will be responsible for payment of the full session.

V. PAYMENT AND INSURANCE

A. Payment

Payment is expected at the time services are rendered unless prior arrangements have been made. We accept cash, checks, and major credit cards.

B. Insurance

We do not participate directly with insurance providers. However, we can provide you with a receipt for services (superbill) that you can submit to your insurance for potential reimbursement. Many of our clients receive significant reimbursement from their insurance providers for out-of-network services.

It is the client’s responsibility to verify insurance coverage for mental health services prior to their appointment. We recommend contacting your insurance provider to understand your out-of-network benefits.

C. Outstanding Balances

Clients with outstanding balances may be required to make payment arrangements before scheduling additional appointments. Accounts with balances over 90 days past due may be referred to a collection agency.

VI. CLIENT RESPONSIBILITIES

As a client of The Washington, DC Center for Neurocognitive Excellence, LLC, you agree to:

  • Provide accurate and complete information about your health history, medications, and any changes in your condition
  • Follow the treatment plan recommended by your provider
  • Attend scheduled appointments and actively participate in your care
  • Notify us of any concerns or problems with your treatment
  • Update us about any changes in your contact or insurance information
  • Pay for services in a timely manner as outlined in our payment policy

VII. WEBSITE USE

A. Content

All content on our website, including text, graphics, logos, images, and software, is the property of The Washington, DC Center for Neurocognitive Excellence, LLC and is protected by copyright laws.

B. User Conduct

When using our website, you agree not to:

  • Use the website in any way that violates any applicable laws or regulations
  • Attempt to gain unauthorized access to any portion of the website
  • Use the website to transmit any viruses, malware, or other harmful code
  • Interfere with or disrupt the operation of the website

By providing your mobile phone number to The Washington, DC Center for Neurocognitive Excellence, LLC, you expressly consent to receive text messages from us, including but not limited to appointment reminders, scheduling confirmations, and other communications.

You understand that:

  • Standard message and data rates may apply from your wireless provider
  • You can opt out of receiving text messages at any time by texting “STOP” in response to any message or by contacting us directly
  • Text messaging is not a secure form of communication, and there is some risk that information in a text message could be read by a third party
  • Providing your mobile phone number is not a condition of receiving services from The Washington, DC Center for Neurocognitive Excellence, LLC

This consent remains valid until you opt out or notify us that you wish to revoke this consent.

IX. INTELLECTUAL PROPERTY

We may offer telehealth services through video conferencing or telephone. By using these services, you agree to the following:

  • Telehealth services may not be appropriate for all mental health conditions
  • There are potential risks to telehealth, including technology failures and privacy limitations
  • In case of emergency, you understand that emergency protocols may need to be implemented
  • You are responsible for maintaining the privacy and security of your own environment during telehealth sessions
  • Insurance coverage for telehealth services varies, and you are responsible for confirming your coverage

XIII. TERMINATION

We reserve the right to terminate or suspend your access to our website or Services at any time, without notice or liability, for any reason, including but not limited to a breach of these Terms.

XIV. GOVERNING LAW

These Terms shall be governed by and construed in accordance with the laws of the District of Columbia, without regard to its conflict of law principles. Any dispute arising from or relating to these Terms or your use of our website or Services shall be subject to the exclusive jurisdiction of the courts in the District of Columbia.

XV. CHANGES TO THESE TERMS

We reserve the right to modify these Terms at any time. Any changes will be effective immediately upon posting the updated Terms on our website. Your continued use of our website or Services after the posting of revised Terms constitutes your acceptance of such changes.

XVI. HIPAA COMPLIANCE

The Center for Neurocognitive Excellence complies with the Health Insurance Portability and Accountability Act (HIPAA). Please refer to our Privacy Policy for information on how we collect, use, and disclose your protected health information.

XVII. SEVERABILITY

If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect, and the invalid, illegal, or unenforceable provision shall be deemed modified to the minimum extent necessary to make it valid, legal, and enforceable.
